1. Introduction
The case study is about the International Charity Foundation (ICF) is a private organization providing the necessary educational and medical support to people in the various countries.
The following are the project main objectives:
• Providing online application form to the children for enrolment process, so that admin staff can access the children data from online process and allocate children according to the programs
• For any query staff of all branches should be available.
• Login the ICF website, individual and organization can donate the money, view the details about the sponsor specific programs and generate the scholarship.
• Maintain the accurate stock level at each branch by using the online system.
• Maintain the income and expense of each branch for specific and effective monthly and yearly statements.
2. Approaches to Systems Development
To developing effective information system are two main approaches, the first approach named as an adaptive approach and the second one named as a predictive approach.
Adaptive Approach
The adaptive approach is following the iteration process and it is well structured. The main aim to use an iterative approach is to reduce the uncertainty that occurred during the process.
Predictive Approach
The predictive approach is used when the overall result of a project are expected and knowable. It is a simple and linear approach.
The predictive approach is followed by the ICF, because in this case study requirements and results already known and expected. The predictive approach is not time-consuming because it is a steady approach where changes not happen. In this approach technical risk also minimize and it’s allowed to measuring the progress. That is the reason to selecting the predictive approach.
3. Systems Requirements
There are two types of system requirements, functional requirement and non-functional requirements.
Functional Requirements
The functional requirements of the projects are: –
1. Using the automated system new children can fill the registration form that is available at ICF website.
2. New children and other children who are already registered can enter multiple assistances into the account and view the account.
3. The staff can log in the account using the valid information and access and update the children data from any location.
4. Organisation and individual can donate money directly using the ICF website. The sponsor can organized the programs and check out the latest events details into their account.
5. The stock level at every branch can be tracked by providing the notification in the system.
6. After completion of the transaction automatically mail or message sent to the system in order to organized record.
7. All branch members can download, print and save the copy of transaction statements monthly and yearly.
Non- Functional Requirements
The non- functional requirements of the projects are: –
1. Security: Maintain and secure all the data and transactions.
2. Reliability: System should be reliable.
3. Accessibility: Website should be easy to access in anywhere.
4. Performance: System should be able to increase the performance.
4. Project Cost and Benefit Analysis
The total budget for the ICF project is $250,000, so one-time cost is taking as 248,000. Total saving is calculated as $9,000 summation of $4,000 and $5,000. $9,000 saving is just for one month, so per year net economic benefits calculated as $108,000. Per month maintenance cost is around $600, so the total recurring cost per year is $7200. The overall discount rate is 10%, after using the formula for the discount rate every year discount rate comes differently. After doing this all process project breakdown occurs between year2 and year 3 that is total 2 years and 352 days.
5. Project Schedule
Work Breakdown Structure: Work breakdown structure is the decomposition of the various activities into smaller parts. It’s shows proper layout into the simpler format and it’s easy to understand.
Gantt – Chart: Gantt chart is the chart which shows the sequence format of the project. It shows the step-by-step procedure and proper layout of the project in less time.
6. System Information Requirement Investigation Techniques
Those who affected by the little changes occur within an organisation is a stakeholder. Primary stakeholders in ICF project are the director, CEO, project manager, customer, clients, sponsorship, suppliers, employees and investors.
As there are a number of investigation techniques, but I choose 3-investigation technique for this project. First investigation technique is taking an interview, the second one is the questionnaire and the third one is reviewing the previous studies in order to avoid the mistakes.
Advantages of using these three investigation techniques are:
An interview is useful to obtain depth information about personal feelings, perceptions and opinions
Interview investigation techniques are providing the high response rate.
An questionnaire is also another important investigation techniques provide the effective and strong point of views
Another investigation technique is reviewing the previous work and checking the solutions.
7. Reflections and Conclusions
Conclusions
The project focus on how automated system useful in the organisation. Using the automated system will run according to the customer’s requirements. It is not time- consuming because the automated system does not take a long time as manual-handling work takes. If any changes encounter, then changes will be done within a minutes without disturbing the other parts. In conclusion, an automated system is one of the effective approaches to keep the track record.
Reflections
By making this project, I learned lots of useful concepts. I know about how to analyse the cost and benefit of the projects and maintain all data into excel. Through this project, I got the brief knowledge about system requirements that are non-functional and functional requirements. Making the project, I learned two approaches predictive and adaptive approach and how it works within a project. Additionally, the most important part I endeavour myself to make the Gantt chart and WBS to the project, which is very useful to me for future.
